Repairs and Accidental Damage Protection
This Addendum (“Addendum A”) is entered into pursuant to the Master Service Agreement (“MSA”) between Secured Tech Solutions d/b/a Secured Tech (“Provider”) and [School District Name] (“Client”), and defines the scope, responsibilities, and terms of Secured Tech’s Repair and Accidental Damage Protection Programs.
1. Program Descriptions
Secured Tech offers device repair services. Repair services may be requested as needed, or the district may purchase a repair plan, such as Secured Tech’s Accidental Damage Protection (ADP). Repair pricing may vary and may include the price for parts and labor. Current pricing may be reflected on current pricing sheets. Such documents will be accurate as of the date published but may fluctuate depending on market conditions.
Accidental Damage Protection to provide repair or replacement services for accidental physical damage for covered, cased devices. Repair or replacement services are limited to covered devices listed and approved prior to the start of coverage. Devices not included in the master serial number list and/or devices that have been intentionally damaged are not eligible for ADP repair services.
All programs are serviced-based, not insurance, and are administered exclusively by Secured Tech. Each ADP program requires execution of a formal quote identifying covered device types, device replacement values, quantities, coverage period(s), and applicable pricing. If a device that is ineligible for ADP is sent to Secured Tech for repair, Secured Tech may repair the device at the standard current price for parts and labor or return the device to the Client for a fee.
The Secured Tech ADP program may include the Parts Closet option. The Secured Tech ADP Parts Closet program provides participating Clients with access to stocked repair parts for covered devices, enabling on-site repairs by district technology staff or student technology teams. Parts are provided during the coverage period, and remaining parts that are not used as part of an approved repair report remain the property of Secured Tech.
The Secured Tech ADP program may also include the Opt In coverage option. The Secured Tech Opt In ADP program includes a dedicated Secured Tech e-commerce site through which students’ parents or guardians may elect to purchase ADP coverage. Secured Tech will determine the Opt In purchasing window and the dates on which the designated Opt In e-commerce site will open and close. Coverage dates will be determined by the executed formal quote with coverage period dates.
Opt In ADP may be purchased for devices that are included on a district-purchased ADP plan. In such circumstances, the proceeds of the Opt In ADP purchase(s) will be applied as a credit to the Client’s account, less a processing fee applied to cover administrative costs.
2. Coverage Period
Secured Tech’s repair services may be requested by the Client at any time through the repair portal. ADP-eligible device repairs will only be covered during the designated coverage period.
Unless otherwise stated in the formal quote, all ADP program coverage runs from August 1 through July 31 of the applicable school year(s). Coverage renews only upon execution of a formal quote.
Secured Tech’s Opt In ADP program may include New Student Enrollment. The New Student Enrollment option is intended for students who are new to the Client’s school or district to purchase Opt In ADP. Opt In ADP must be purchased within 10 days of new students’ district enrollment. Only students who are newly enrolled are eligible to purchase after the designated Opt In purchasing window. The district must provide access to the designed e-commerce site to eligible students.
3. ADP Scope of Coverage
Secured Tech’s ADP requires serial numbers for each covered device prior to the coverage period as defined in the executed formal quote. Covered damage includes accidental physical damage to a properly cased ADP covered device that occurs during the coverage period.
Accidental damage is determined at the discretion of Secured Tech as an agent of the Provider’s underwriter and in accordance with the agreement between Secured Tech and the underwriter. Any and all damage Secured Tech determines to be non-accidental will be billed to the Client at full price. Covered repairs includes accidental damage resulting in:
- Cracked or broken LCD screens;
- Liquid spills or submersion;
- Damaged ports, hinges, trackpads, keyboards, or internal components caused by accidental impact;
- Electrical or mechanical failures not related to manufacturer defects;
- Accidental breakage or housing separation that prevents normal device operation;
- Fire, flood, theft, or lost devices with a valid police report that includes the device serial number.
Coverage Excludes:
- Fire, flood, or natural-disaster damage occurring at the school or on school district property (covered by the district’s general insurance policy)
- Cosmetic damage (scratches, dents, worn keys, discoloration, etc.)
- Damage to uncased devices
- Contact with biohazardous liquids or substances
- Intentional or fraudulent damage
- Manufacturer defects (covered by OEM warranty)
- Normal wear and tear, corrosion, or environmental conditions
- Damage due to non-authorized repairs or disassembly.
- Devices with serial numbers not provided and approved as part of the master serial number list.
4. Battery Coverage
Apple iPad and MacBook devices are eligible for one (1) battery replacement per serial number during its coverage term.
- iPads / MacBooks: covered when battery capacity < 50 %.
Additional battery replacements for all devices or those Apple devices above these thresholds are billable at the current ad-hoc rate.
5. Case Requirement
All Covered Devices must be protected by an approved case at the time of damage.
Devices found without a case, or where damage indicates the device was uncased, are not eligible for coverage.
Secured Tech reserves the right to deny any claim resulting from an uncased device.
6. Manufacturer’s Warranty
Manufacturer defects or failures that qualify under an OEM warranty must be handled in accordance with the manufacturer’s warranty claim process unless otherwise requested by Secured Tech.
Repairs completed by Secured Tech may void the manufacturer’s warranty; Secured Tech bears no liability for such outcomes.
7. Device Eligibility and Asset Management — Parts Only ADP
Participation is limited to devices listed and approved by Secured Tech in the master serial number list provided by the client before the coverage term. Secured Tech will determine the inventory to be provided to the Client for the repair of the devices on the approved master serial number list.
For Parts Only ADP, the Client must have a qualified asset management system capable of generating part-usage reports. Systems such as Incident IQ, Tech Director Toolbox, or One-to-One Plus may satisfy this requirement.
The Client must:
- Maintain accurate and up-to-date documentation of Client-owned device serial numbers.
- Provide Secured Tech with a master serial number list of covered devices for approval prior to the coverage term.
- Establish notifications in an approved system to alert Secured Tech when parts inventory fall below a threshold determined by Secured Tech.
- Submit a monthly usage report from the Client’s qualified asset-management system, to Secured Tech by the 5th calendar day of each month identifying:
- District Name
- Date of Incident
- Ticket Number
- Asset Tag
- Serial number of each repaired device;
- Total Parts Used per repaired device;
- Part Number (one part per line);
- Intentional or Accidental damage.
- Set-up pricing quantities and alerts
- Update internal stock immediately upon receipt of receiving additional parts stock from Secured Tech
Failure to submit timely and complete reports may delay replenishment or result in suspension of coverage.
8. Motherboard and Advanced Repairs — Parts Only ADP
The Client may not perform motherboard-level replacements or soldering work under this Program.
All motherboard replacements, component-level repairs, or other advanced electronic repairs must be completed exclusively by Secured Tech’s trained technicians.
If the Client performs or authorizes motherboard-level work, Secured Tech may void coverage, deny replenishment, and retain all fees paid to date.
9. Fulfillment and Inventory Replenishment — Parts Only ADP
Secured Tech’s typical parts-replenishment turnaround time is fourteen (14) to twenty-one (21) business days from receipt of the monthly report or notification of low inventory.
Turnaround times are targets, not guarantees, and may be extended due to:
- Global or domestic parts shortages;
- Tariffs, customs delays, or vendor constraints;
- Labor shortages or carrier delays;
- Natural disasters or other force-majeure conditions.
Secured Tech shall not be deemed in breach of this Agreement for delays caused by such events, provided it communicates material delays and makes commercially reasonable efforts to complete fulfillment.
10. Repair Process and Turnaround Time
To request a device repair, the Client must use Secured Tech’s designated repair portal to submit a repair request ticket. Tickets must include all required information. Failure to provide all required information may result in delay or denial of repair services and ADP coverage.
Secured Tech’s typical repair turnaround time is seven (7) to ten (10) business days from receipt of the damaged device. Secured Tech pays inbound and outbound shipping for covered repairs. If a device is returned to the Client without providing repair services, a return shipping and handling fee will apply.
The Client acknowledges that turnaround times are targets, not guarantees, and may be extended due to circumstances beyond Secured Tech’s reasonable control, including:
- Parts shortages or supply-chain delays
- Tariffs, customs issues, or vendor constraints
- Labor shortages or carrier delays
- Natural disasters or other force-majeure events
Secured Tech will communicate any expected delay to the Client and make commercially reasonable efforts to expedite completion.
11. Use of Parts
Secured Tech may fulfill or restock ADP Parts Only Program inventory using new, used, refurbished, or OEM “pull” parts. Secured Tech may fulfill repairs using new, used, refurbished, or OEM “pull” parts. Minor cosmetic variance shall not be considered a defect.
The use of such parts constitutes full satisfaction of Secured Tech’s obligations under this Agreement, provided the part restores the device to full working order.
For ADP Parts Only, all parts remain the property of the Provider until they are submitted and approved on a Parts Only repair report. At the end of the coverage period, any unused parts will be returned to Secured Tech.
12. Cosmetic Damage Exclusion
Cosmetic damage, including scratches, dents, worn keys, faded housings, or other superficial issues that do not affect device operation, shall not be covered or replaced under any ADP program.
If Secured Tech determines that cosmetic parts were replaced or claimed as part of a repair or replacement, Secured Tech reserves the right to:
- Deny reimbursement or restock of such parts (Parts Only).
- Deny the claim and suspend or void the coverage at Secured Tech’s discretion.
- Retain all payments made as liquidated damages for breach of contract.
13. Prohibited Use and Contract Forfeiture — Parts Only ADP
Parts provided under this Program may only be used for the devices and serial numbers listed on the approved master serial number list.
If Secured Tech determines that parts were used on non-covered devices, Secured Tech may:
- Deny the claim in full;
- Invoice the Client for the market value of the part(s) used and a processing fee;
- Immediately suspend or terminate this Program;
- Retain all payments previously made by the Client as liquidated damages and invoice for replacement inventory or administrative costs.
14. Reporting and Audit Rights — Parts Only ADP
Secured Tech reserves the right to request additional verification or conduct an on-site cycle count of the Client’s ADP Parts Only program inventory to replenish parts inventory and to confirm compliance. Any missing parts that are not listed on an approved Parts Only repair report will be billed to the Client at standard pricing.
Failure to cooperate or provide accurate records may result in suspension or termination of the Program.
15. Unrepairable Devices / Total Loss
Devices may be unrepairable at Secured Tech’s sole discretion. Secured Tech is the only entity that can determine if a device is beyond economical repair or physically unrepairable. If a device that is not covered by ADP is determined to be unrepairable, a diagnostic fee will be assessed.
Once an ADP-covered device is declared unrepairable, device ownership transfers to Secured Tech, and the Client must remove the device from all management systems (MDM, ASM, Google Admin, BIOS, or others) within five (5) business days. The Client must provide Secured Tech with the replacement device’s specifications and serial number within ten (10) business days to be approved and updated on the master serial number list. The replacement device must be the same device model and have the same replacement value as the original device included on the executed formal quote.
For Parts Only ADP, the Client may not remove parts or re-use components from unrepairable devices or devices expected to be deemed unrepairable unless explicitly approved in writing by Secured Tech.
16. ADP Serial Number Submission Requirement
The Client must provide Secured Tech with the complete list of serial numbers for all devices to be covered under this program prior to the coverage period start date in the executed formal quote.
Coverage will not begin—and no repairs or replacements will be accepted or completed—until Secured Tech has received and approved the covered serial numbers in a master list.
Failure to submit all serial numbers on or before the required date will result in denial of claims until such information is provided and acknowledged by Secured Tech in writing. A return shipping and handling fee will be applied for any devices sent to Secured Tech that must be returned due to denial of claim.
Once serial numbers have been provided and approved, they cannot be changed or replaced without Secured Tech’s approval. If a covered device is deemed unrepairable by Secured Tech, a device of the same type and replacement value may be submitted to replace the unrepairable device’s serial number.
If additional devices require coverage, additional plans may be purchased.
17. Client Responsibilities
The Client agrees to:
- Maintain protective cases on all covered devices as required by program terms. Any exceptions must be in writing and approved by Secured Tech.
- Submit all repair requests through the designated Secured Tech portal and include all available information necessary to determine coverage status of the damaged device to complete its repair efficiently.
- Maintain and utilize the mutually agreed upon master serial number list(s) for covered devices.
- Notify Secured Tech of changes in personnel that may impact billing, repair services, or parts inventory.
- Remove any unrepairable devices from management systems within five (5) business days and provide Secured Tech with a replacement device serial number within ten (10) business days to ensure proper and timely coverage.
- Submit monthly part-usage reports on or before the 5th calendar day of each month. (Parts Only).
- Set alert thresholds in the district’s approved asset management system to notify Secured Tech of depletion in parts inventory (Parts Only).
- Update parts inventory within 48 hours of receipt of additional parts (Parts Only).
- Ensure only qualified staff or student-tech teams perform repairs using approved tools. (Parts Only).
- Only provide access for New Student Enrollment to eligible students.
- Ensure all communications to guardians and Acceptable Use Policies align with program requirements.
- Purchase any A/C adapters, chargers, or batteries exclusively from Secured Tech at the pricing specified on the current accessory price sheet.
18. Early Termination
In the event of Client chooses to terminate the device repair warranty before the coverage period ends, Client may be assessed a fee up to the original MSRP of the cases and other products included in the purchase, minus any prorated coverage period payments, to be paid upon termination. All fees associated with underwriting costs and case costs are non-refundable.
19. Limitation of Liability
Secured Tech’s total liability under this Addendum shall not exceed the total amount paid by the Client for the applicable coverage period.
In no event shall Secured Tech be liable for indirect, consequential, or punitive damages.
20. Program Not Insurance
All ADP programs are service programs, not insurance policies.
Secured Tech is not an insurer and does not sell or broker insurance products. Any underwriting obtained by Secured Tech is solely for its internal risk management.
