Customer Portal — Acceptable Use Policy (AUP)

Last Updated: 6/8/26

Welcome to the Secured Tech Customer Portal. This portal is provided by Secured Tech Solutions d/b/a Secured Tech to facilitate supportive resources, account management, repair device management, repair ticketing, and tracking.

By accessing or using this portal, you agree to comply with this Acceptable Use Policy (AUP). This AUP supplements the Master Service Agreement (MSA) already in place between Secured Tech and your School/School District.

1. Account Security and Access

  • Individual Accounts: You are responsible for maintaining the confidentiality of your login credentials. Account sharing is strictly prohibited. Each user must have their own unique login to ensure accountability and maintain a secure audit trail. The administrator in the portal for your school/district is responsible for permission levels and adding/removing district user’s access.
  • Unauthorized Access: You may only access data, devices, and records that belong to your specific school and/or school district, as determined by your administrator. Attempting to access, modify, or delete data belonging to another Secured Tech client is strictly prohibited.
  • Security Reporting: If you suspect your account credentials have been compromised, you must notify Secured Tech immediately.

2. Employment Status and Account Deactivation

Access to the Secured Tech Customer Portal is granted solely based on your active employment or authorized status as an active School District customer of Secured Tech. Secured Tech reserves the right to auto-delete or close inactive user accounts.

  • Immediate Cessation of Access: Upon your resignation, termination, or reassignment to a role that no longer requires portal access, you must immediately cease all attempts to access the Secured Tech portal.
  • No Credential Transfer: Portal accounts are issued to individuals, not to roles or titles. You may not hand over, share, or transfer your login credentials to your successor or any other employee. New personnel must provision their own unique accounts through their administrator.
  • Administrative Responsibility: District administrators who have the authority to manage portal users within their district are required to deactivate/remove access for departing employees immediately upon their separation from the district. Secured Tech reserves the right to audit and disable inactive accounts to protect district data.

3. Data Privacy and Student PII Handling

As outlined in your district’s MSA, Secured Tech is committed to protecting student data and complying with the Family Educational Rights and Privacy Act (FERPA) by acting as a school official. To assist us in maintaining these strict privacy standards, portal users must adhere to the following data entry rules:

  • Designated Fields Only: When submitting a repair ticket, you may only enter Personally Identifiable Information (PII), such as a student’s name, into the specifically designated custom fields (e.g., “Student First Name”).
  • No PII in Open Text: You must never include student names, student identification numbers, email addresses, or other sensitive PII in open-text fields, such as ticket subject lines, descriptions, or communication notes. Please reference devices exclusively by their Serial Number.
  • Data Accuracy: You are responsible for ensuring that any data synced from third-party platforms (such as Incident IQ or Learn 21) or uploaded via CSV is accurate and free of unauthorized confidential information.

4. Prohibited Technical Conduct

To ensure the portal remains fast, secure, and reliable for all districts, users must not engage in any of the following activities:

  • Malicious Uploads: Uploading files, attachments, or CSVs that contain viruses, malware, trojans, or corrupted data.
  • System Interference: Attempting to reverse-engineer, decompile, or compromise the security or infrastructure of the portal.
  • Automated Abuse: Using unauthorized bots, scrapers, or excessive API polling that could degrade portal performance or disrupt service for other users.

5. Professional Communication Standards

The portal includes features for commenting on tickets and communicating directly with Secured Tech technicians and team members. Users are expected to maintain professional, respectful communication at all times. Harassing, abusive, discriminatory, or profane language directed at Secured Tech personnel will not be tolerated.

6. Enforcement and Suspension

Secured Tech reserves the right to investigate any suspected violations of this AUP. We may temporarily or permanently suspend portal access for any individual user who violates these terms, without prior notice, to protect the integrity of our systems and the security of our customers and the student data provided.
